Position Overview

We are seeking a highly experienced, polished, and discreet Chief of Staff to support a high-profile principal whose work spans the entertainment industry, scientific philanthropy, and active investment in multiple ventures. This is a full-time, onsite role based at the principal’s primary estate, with regular activity across her additional residence and periodic travel to events nationwide.

The Chief of Staff will work hand-in-hand with the principal’s personal assistant, who continues to manage the principal’s personal day-to-day needs (wardrobe, packing, private travel logistics, and personal space). The new hire will own the executive, administrative, and project-management functions of the principal’s life — serving as a trusted right hand, gatekeeper, and project quarterback across her philanthropic, business, legal, and household affairs.

This role is ideal for a seasoned executive support professional who thrives in a fast-paced, high-touch environment, anticipates needs before they arise, and operates with absolute discretion.

Reporting Structure

  • Reports to: The Principal
  • Works in close partnership with: The Principal’s Personal Assistant
  • Oversees:
    • Personal archives organization project
    • Vendors, contractors, and consultants engaged for short-term projects and events
    • Recruitment, onboarding, and transition of household staff as needed
    • Future direct reports or temporary support staff, as the team grows

Key Responsibilities

Executive & Administrative Support

  • Partner with the personal assistant to manage and maintain the principal’s daily and long-range calendar, including appointments, meetings, events, and travel
  • Monitor and triage email and digital correspondence; ensure the principal is promptly informed of time-sensitive items, including DocuSign requests, inquiries, and decisions requiring her attention
  • Draft, review, and respond to correspondence on the principal’s behalf as appropriate
  • Maintain organized records, files, and documentation across business, philanthropic, legal, and household matters
  • Prepare briefing materials, agendas, and follow-up notes for meetings and engagements

Business, Philanthropic & Legal Coordination

  • Serve as the primary point of contact and coordinator with the principal’s attorneys, financial institutions, philanthropic organizations, and multiple scientific ventures
  • Track deliverables, deadlines, and follow-ups across all external advisors and partners
  • Coordinate signature workflows, document execution, and timely return of legal and financial paperwork
  • Support the principal’s involvement in charitable events, board engagements, speaking opportunities, and high-profile invitations

Project Management

  • Spearhead short-term and ad-hoc projects as they arise, providing structure, timelines, accountability, and end-to-end execution
  • Lead coordination of property and residence projects, including liaising with architects, designers, contractors, and vendors when applicable
  • Help plan and execute private events and gatherings, in coordination with family, vendors, and invited guests
  • Partner with the principal’s travel agent and personal assistant on planning trips and travel itineraries

Household & Staff Operations

  • Oversee the principal’s personal archives organization project and ensure organizational milestones are met
  • Assist with the recruitment, onboarding, and transition of household staff as needed
  • Coordinate with the property manager and external vendors on estate maintenance, scheduling, and ongoing oversight
  • Receive and route incoming deliveries and shipments; manage outbound shipping as needed
  • Run errands and place orders for household needs in partnership with the personal assistant

Qualifications & Experience

Required

  • 7+ years of experience supporting a high-net-worth principal, C-level executive, public figure, or family office in a Chief of Staff, Executive Assistant, Personal Assistant, or House Manager capacity
  • Demonstrated experience managing complex calendars, multi-stakeholder communication, and competing priorities in a high-pressure environment
  • Proven project management skills, including experience with construction, renovation, or large-scale event projects
  • Exceptional written and verbal communication skills, with the polish to represent the principal to attorneys, philanthropic leaders, business partners, and high-profile guests
  • Proficiency with Microsoft Office, Google Workspace, DocuSign, calendar and scheduling tools, and standard productivity software
  • Valid driver’s license and reliable transportation; willingness to run errands and travel between residences as needed
  • Willingness to sign and strictly adhere to a non-disclosure agreement
  • Ability to maintain absolute confidentiality regarding the principal’s identity, personal life, business affairs, and household; no public reference to this employment, including on personal social media

Preferred

  • Prior experience supporting a public figure in entertainment, philanthropy, or science
  • Familiarity with the philanthropic, legal, and event landscape in major U.S. metropolitan areas
  • Experience hiring, training, and managing household or administrative staff
  • Bachelor’s degree or equivalent professional experience

Position Logistics

  • Status: Full-time, exempt
  • Location: Onsite daily at the principal’s primary estate, with regular activity at her secondary residence (Georgetown in Washington, DC)
  • Hours: Standard business hours with flexibility to work evenings and weekends as needed
  • Travel: Periodic domestic travel with the principal; trips may range from one day to several weeks depending on the engagement
  • Confidentiality: Signed non-disclosure agreement required prior to start

Compensation 

  • $250K+ gross annual salary (based on experience and qualifications)
  • Gross monthly health insurance stipend (independent policy required for reimbursement)
