Full-Time Estate Manager or Domestic Couple: $200K+, Benefits, Furnished Housing

Family with property in Nassau, Bahamas is seeking a highly competent and detail-oriented estate manager or domestic couple to oversee complete management of a newly constructed and significant seaside estate. This is an expansive estate property of approximately 40,000 square feet situated over eight acres. There are several structures on the property, including multiple homes, garages, garden, pool, spas, gym, and courtyards. Estate Manager is responsible for ensuring overall smooth operation of the property. Principals’ personal style is they expect their property to be maintained to their high standard with an enjoyable atmosphere. The ability to exude a positive attitude in the work environment is crucial to success. Strong leadership abilities and phenomenal efficiency can set you apart among candidates. A professional private service attitude that puts the employer’s needs at a premium is expected and highly valued. The basic schedule is 5 ½ days per week when principals are in residence and 5 days per week when family is not in residence, but with oversight on days off. Occasional 6 or 7 day weeks are required (fewer than six weeks per year). Property is mainly used during vacation time / holidays, and Estate Manager is required to work when house is occupied (including holidays). Time off must be scheduled during the off season, which is May through October. Estate Manager is responsible for overseeing the general operation of semi-formal to informal residence and property; training and managing domestic staff in an environment where everyone is given clear expectations and loves coming to work daily (maintenance supervisor, maintenance, housekeepers, gardeners, etc.); collaborative to work directly with principals, domestic employees, and family office on a daily basis; assertive; proactive; resourceful; self starter; organized; service focused; kind; professional; and capable of maintaining discretion. Candidates must be comfortable working around high school to college aged children. Uniform is provided and required for position (e.g., khakis, polo, indoor shoes, etc.). Staff vehicle is provided for running errands and work related responsibilities. Family is open to local candidates and international relocations. Start date is flexible for the right candidate.


  • Routine walk through of property to ensure that all systems are functioning properly and conduct regular property inspections
  • Management responsibilities of 40,000 square foot residence on 8 acre property 
  • Management of maintenance team and housekeepers
  • Hire, train, and manage domestic employees for property and supervise the quality of their performance (schedule review / evaluation annually with each employee)
  • Coordinate staff schedules to ensure adequate coverage at all times based on family’s needs, travel schedules, guests visiting property, etc.
  • Assist domestic staff with projects when necessary (e.g., creating a collaborative / team environment)
  • Schedule preventive and reactive structural and ground maintenance on all systems, including, but not limited to: HVAC; plumbing; irrigation; electrical generator; security; audio/visual; smart home systems; and exterior and interior of all structures (basic troubleshooting capabilities)
  • Seasonal opening / closing of residence (e.g., storage of outdoor furniture at the end of season, oversee home systems adjustments for seasonal utilization, prepare all aspects of household and property for family utilization, etc.)
  • Maintain vehicles, take for service appointments, and keep accurate records of services completed; gas; and wash
  • Vendor and contract negotiation and management: negotiate and manage initial drafts of contracts; screen and supervise work of outside service providers, including vendors, contractors, pool maintenance, landscaping, etc. (foster healthy and constructive working relationships with outside service providers)
  • Verify compliance of contracts to ensure work was completed per the terms, and serving as “eyes and ears” of the owners
  • Maintain and revise property manuals (household manuals for residence, homes, structures on property)
  • Create inventory checklists and ensure inventory is always stocked in accordance with family’s preferences (e.g., household items, cleaning supplies, toiletries, supplies for guests, medication and supplements, etc.)
  • Calendar renewals of vendor Certificates of Insurance
  • Maintain and service house systems, including telecommunication, internet, wireless radio, audio/visual and network
  • Maintain and service kitchen appliances, swimming pool, and house plumbing 
  • Act as a liaison with community security, clearing guests, and vendors
  • Manage household petty cash, proper documentation, and submission of house and staff credit card purchases and receipts
  • Work with family office internal accounting team on finance related functions (e.g., reviewing all property invoices including utilities and any vendor costs, reconcile all house staff credit cards for accuracy, administer petty cash account as necessary, etc.)
  • Manage preparation (set up) and clean up (break down) of all events (e.g., dinner parties, holidays, third party events, etc.) including third party vendors
  • Coordinate guest arrivals to the property including transportation, greeting of guests and any needs they might have per principals’ direction
  • Post daily schedule when guests are in residence including dinner times, spa treatments, or other booked appointments / activities 
  • Bring any security concerns to the family office and/or principals’ attention
  • Train others how to handle household emergencies
  • Review and edit hurricane preparedness manual and train staff yearly on procedures
  • Household projects and handle things around residence (e.g., receiving deliveries, ensure packages are brought into residence promptly, organizational projects, send emails, etc.)
  • Run errands and perform necessary tasks (e.g., shop for home supplies, returns, and other requested things)
  • Assist family office with functions that can only be completed onsite (e.g., timesheets, NDAs for outside service providers, etc.)
  • Schedule meetings with family office as needed to discuss family’s schedules, travel plans, upcoming events, special projects, etc.

  • Experienced in maintaining homes and equipment in a seaside environment
  • Knowledge and navigation of smart home systems, HVAC, and electrical (collaboratively working with maintenance supervisor, maintenance, and vendors)
  • Ability to present projects, budgets, lists, bids, quotes, etc. to family office through use of technology
  • Strong technology skills and experience working with Macintosh and PC
  • Knowledge of Microsoft Office and ability/interest in learning new programs as needed
  • Strong organizational skills, detail-oriented, and “can do” attitude
  • Proactive, excellent time management, efficient, and service focused
  • Resourceful and proficient at juggling multiple tasks simultaneously
  • Courteous, discreet, honest, and responsible character
  • Self-starter and ability to work independently (without direction/supervision)
  • Ability to maintain discretion (confidentiality agreement is required)
  • Attentive to principals’ preferences and style (intuitive to their needs)
  • Ability to be discreet with respect for employer’s privacy
  • Professional presentation of self and great personality
  • Ability to develop and maintain solid working relationships with service providers, contractors, and vendors

  • Bachelor’s degree is ideal, but not required 
  • 5-10+ years of consistent and recent experience in private service and/or property management 
  • 2-3 references from domestic positions
  • Ability to complete extensive background checks, motor vehicle checks (clean driving record), drug tests, and psychological evaluation
  • COVID-19 vaccinations

  • Seeking longevity / long term commitment (e.g., 2-5+ years commitment and ideally longer)
  • International relocation to Nassau, Bahamas
  • Able to work legally in the Bahamas (family office will assist with employer sponsored foreign national visas)


  • $200K+ gross annual salary (based on experience and qualifications)
