The Executive Assistant joins a close-knit, senior support team working in a fast-paced, service-oriented, entrepreneurial environment. The Executive Assistant’s primary role will be to provide dedicated administrative support to the co-chairman, helping to manage the complex day-to-day activities including extensive travel arrangements, calendaring, and logistics to ensure all areas of the co-chairman’s life run seamlessly. This is a dynamic role that spans professional and personal aspects of the co-chairman’s life. This person is someone with a flexible attitude who is passionate about administrative work, is skilled at distilling and communicating information, and displays exceptional organization and work ethic. This position will be based in our New York City office. Start date is flexible for the right candidate.

RESPONSIBILITIES: 

  • Partner with the senior support team to expertly coordinate all aspects of the day-to-day operations of the co-chairman’s office and align personal and professional matters to co-chairman’s priorities
  • Primary strategic management of an ever-changing calendar, scheduling appointments, coordination of meetings and catering, and some event planning
  • Daily coordination with multiple constituents to ensure all logistics for the co-chairman’s activities are in place
  • Organize complex global travel bookings, generate detailed itineraries, and monitor co-chairman’s logistics in real time during trips
  • Prioritize and follow up on pending issues and ensure that appropriate parties are looped in as appropriate
  • Handle highly sensitive and confidential materials with the utmost discretion
  • Maintain digital files and contacts and process co-chairman’s mail and shipments
  • Create and master systems to streamline procedures, systematize documentation, improve upon existing processes and customize support
  • Develop and maintain strong relationships with internal and external persons in co-chairman’s network
  • Successfully manage independent projects to fruition on an as needed basis

QUALIFICATIONS:

  • Intellectually curious
  • Flexible attitude, proactive, self-motivated, and resourceful
  • Highly organized with strong attention to detail, excellent follow through, and ability to get past obstacles in order to get things done
  • Strong administrative experience and demonstrated ability to navigate competing priorities
  • Talented communicator with well-developed interpersonal skills, conscientiousness, and discretion 
  • Exceptional judgment and emotional maturity
  • Clear and concise writing ability
  • Able to work well in a fast-paced, team environment   

REQUIREMENTS:

  • Bachelor’s degree required with demonstrated academic excellence
  • 7+ years of relevant administrative experience required with at least 3 years of experience having supported a global Chair / CEO / Executive

COMPENSATION:

  • $200K+ gross annual salary (based on experience and qualifications)
